The Patient Concierge performs both front- and back-office duties, interacting with patients, guests, vendors and the STRATA clinical team. In addition to greeting patients and guests, the Patient Concierge is responsible for scheduling client appointments, answering phones, processing client payments, preparing client charts, processing inbound messages (mail, email), and managing correspondence.

This position reports to STRATA's Operations Officer.



Perform all duties related to facilitating processing of patients for the Wellness Center:

  1. Concierge services and patient scheduling appointment visits, laboratory tests, internal referrals
  2. New patient workflow to include patient portal setup and pre-visit electronic consent and intake forms; verifying patient documentation is completed in advance of visit and available for clinician review
  3. Scanning records for the client charts as needed
  4. Procurement and processing of medical records
  5. Proficient in billing process, payment collection, insurance, Workers' Compensation (WC), and verification of clinician coding and timely (end-of-day) processing
  6. Communicate with patient regarding general office and appointment inquiries
  7. Ensure patient satisfaction
  8. Distribute, monitor, track, and analyze patient experience surveys for process improvements
  9. Monitor and respond to communication inquiries across platforms (phone, email, text, fax, in-person)

 Perform administrative and Front Office duties:

  1. Greet all patient and visitors with anticipatory service, signature phrasing, and key touch points
  2. Answer telephones, take messages, follow-up on messages, triage urgency of messages to ensure timely delivery and action, and track patient interactions within Electronic Medical Record (EMR)
  3. Open and close office procedures, including constant awareness of office spaces (Lobby, Reception, Clinical / Treatment Rooms) for cleanliness and tidiness, well-stocked clinical needs (gloves, masks, water), collateral (business cards, service line materials)
  4. Monitor patient records for strong engagement to ensure completion of health and wellness goals
  5. Ensure patient records, including contact details, are current and electronic paperwork are accurate
  6. Transcribe paper intake, prescription, or supplement details into EMR
  7. Provide instruction and follow-up for laboratory services referrals, including locations and requisitions
  8. Track and schedule Wellness Concierge Medical membership patient appointments and coordination
  9. Process patient insurance requests, including self-funded accounts, out of network, WC, and superbills
  10. Maintain strong communication engagement with patients, including thank you notes (referrals, retreat / workshop participation, special event attendance) for referrals, new patient follow-up, follow-up patient reminders, birthdays, goal completion recognition, holidays
  11. Monitor marketing collateral and share feedback regarding engagement / resonating content
  12. Print marketing assets for front desk, where applicable
  13. Support clinical, operational, and Wellness Team Members to streamline flows and build partnerships
  14. Complete the Patient Referral Tracking Spreadsheet monthly
  15. Participate in periodic STRATA meetings and share recommendations on optimizing patient flow
  16. Triage incoming inbound communications and produce an e-encounter for every patient interaction
  17. Proficient in patient EMR (Helios System), including reporting, chart review, patient analysis, utilization
  18. Order, maintain, and invoice management of office supplies and supplements (alongside Clinical Lead)
  19. Attention to detail, quality focused, organization, time management, teamwork, and mission-driven
  20. Adherence to office policies, procedures, and culture



  1. Medical background strongly preferred, to include experience with medical terminology, medical coding, processing of insurance claim forms, healthcare provider relations, and patient engagement
  2. Experience with technology, preferred with excellent knowledge of Microsoft Office Suite, and previous engagement with electronic medical health records
  3. Must have excellent multi-tasking ability and organizational management to ensure all operations completed
  4. Experience in public-facing customer service
  5. Ability to be resourceful and proactive in attending to unanticipated matters
  6. Quick learner, eager to explore new technology, processes, and procedures
