POSITION SUMMARY:

Ensures the smooth and efficient operations in the department through prompt, effective and proper reservations service with the understanding that the property has call center back up. Work with sales and catering team to ensure all groups contracts, release dates, room blocks, and billing are accurate. Manages the relationship with Casita Owners whose units are part of the property's inventory and available for rent by the general public. 

Follows policies and procedures under guidance of Director of Front Office. Responsible for any other duties requested by Director of Front Office or Director of Housekeeping.

Essential Functions:

  • Have knowledge of entire Reservation procedure according to property procedures.
  • Handle incoming reservations calls to the property
  • Responsible for hotel group call-in reservations, member reservations and casita owner reservations.
  • Knowledgeable in hotel and guest room facilities/services.
  • Review reservations booked daily, including no shows and cancellations.
  • Ensure rates, market codes, and market segments are correct.
  • Adds alerts and comments to reservation that are necessary to ensure all guest needs are met.
  • Blocks Cottage and Casita reservations to assure maximum opportunity to sell three-bedroom units.
  • Review arrival report daily.
  • Liaise with Sales Department regarding occupancy and cut off dates.
  • Monitors and coordinates group reservations activity with the Sales Department and Revenue Management team.
  • Follows up on tentative bookings and update reservation status.
  • Supervises Group Reservations and resumes
  • Acts as liaison to Casita and Villa Owners by ensuring all requests are received and acted upon in a timely manner.
  • Maintain cordial relations with Casita and Villa Owners.
  • Book Casita Owners' personal reservations in accordance with purchase agreement.
  • Ensure special handling of repeat guests and every VIP guest.
  • Ensures that proper telephone manners are always maintained
  • In general, perform any other duties requested by Director of Front Office or Director of Housekeeping.

Experience and Education: 

This position requires a minimum formal education of a high school diploma and at least 1 year of job-related experience in sales and group business. Some experience with Opera property management system, though not required, would beneficial.

Generally free from exposure to dirt, odors, noise, temperature / weather extremes, or unlevel, slippery, or unstable working surfaces.

Work Schedule

Work regularly requires or varies between day, evening, night, holiday, or weekend assignments.  Schedule varies according to business demands and needs.

Ergonomics Risks

Significant portions (more than 50%) of daily assignments involve ergonomic risk, such regular repetitive tasks, forceful or prolonged exertions of the hands.

Safety

Responsible for adhering to all safety policies and procedures of Garden of the Gods Resort and Club.

Required Travel

Position does not require travel.  Work is completed on the property.
